Privacy Policy

This policy says what David Ramirez, doing business as RelayReef ("RelayReef", "we") collects, why, and who we share it with. It covers relayreef.com, the RelayReef app, and the websites we host for businesses.

Businesses, and their customers

  • Businesses that use RelayReef, and their team: we decide how your details are used, as this policy says.
  • Customers of those businesses, and visitors to their websites: the business decides what it collects about you and why. We store and handle it for the business. To see, correct or delete it, ask the business, and we help them answer.

What we collect

  • Account details: names, email addresses, phone numbers and business details, given when signing up and in Settings.
  • Billing: Stripe handles card numbers. We see a card's brand and last four digits, never the whole number.
  • What a business puts in: its customers, appointments, invoices, messages, files, and its website's words and photos.
  • RelayAI: what you type to RelayAI, and the business details it reads to answer you.
  • Logs: when the app or a website is used, our servers record each request, including the IP address and browser, to keep things secure and to fix problems.
  • Website visits: websites we host count visits with our own counter, not an advertising or analytics company's. It keeps a random number in the visitor's browser, and records the page, the kind of device, the kind of site the visitor came from, and campaign tags in the link. It doesn't guess where a visitor is, and doesn't tie a visit to a name, even when the visitor fills in a form. Where a business asks its visitors first, nothing is counted unless the visitor presses Accept.

How we use it

To run RelayReef, bill for it, help you when you ask, keep it secure, fix and improve it, and email you about your account. We don't sell personal information, and we don't show ads.

Who we share it with

Only the companies that help us run RelayReef, for that purpose:

  • Stripe, for RelayReef's own billing, and for businesses that take payments through Stripe.
  • Square, when a business connects its Square account.
  • Twilio, to send text messages, once texting is on.
  • Email delivery services, for the emails we send for ourselves and for businesses.
  • DigitalOcean, where files and photos are stored.
  • Anthropic, whose Claude models answer RelayAI. Some answers come from a model on our own server instead.
  • A tenant screening service, when a property manager screens an applicant who agrees to it.
  • Google Maps, which gets the addresses of a business's appointments to show maps and work out travel times between them, and which shows maps on booking pages and websites.
  • Google Fonts, which our pages and some websites load fonts from, so Google sees the visitor's IP address.
  • UPS and FedEx, when a business connects its own account to ship orders.

We also share information when the law requires it or to protect someone's safety, and with a new owner if RelayReef is sold or merged, under this policy.

How long we keep it

While an account is open. After a business's plan ends, we keep its data for 90 days and then delete it, except what the law makes us keep, such as billing records. Deleted data can stay in our backups until they are replaced.

Keeping it safe

Connections are encrypted, passwords are stored only in a form that can't be read back, keys to outside services are stored encrypted, and our own administrators sign in with a code as well as a password. No system is perfectly secure. If you find a problem, tell us at support@relayreef.com.

Your choices

  • To see or correct your details, change them in Settings. To get a copy of them or have them deleted, write to support@relayreef.com.
  • Marketing emails have a link to stop them, and replying STOP to a text stops texts from that business.
  • If you're a customer of a business on RelayReef, ask the business first.

Children

RelayReef is for businesses and isn't meant for children under 13. We don't knowingly collect their details.

Changes to this policy

When we change it, the date at the top changes, and we email businesses about changes that matter.
